Start from a concrete output

Take a fictional example: a company receives a quote request by email. Asking “reply to the client” leaves it to the model to imagine the product, the prices and the tone. A more useful request is to extract the elements that are present, list what is missing and prepare a draft that commits to nothing commercially.

Before entering the text, check that it can be shared in the tool authorized by your company. For a first trial, replace the names and use fictional products. The aim is to test the method, not to immediately transfer an entire mailbox.

Organize use across several people

Keep the approved source sheet, an example of a satisfactory output and the name of the role that approves. A colleague must be able to pick up the work without having to track down a private conversation. Also make the difference between an individual account, the rights of the team workspace and the access to connected applications.

The ChatGPT Enterprise administration documentation distinguishes these scopes. It does not mean that all Enterprise features exist in all subscriptions. Check the plan and the settings actually available before designing the flow.

When an integration becomes useful

If the team copies the same fields every day, a connection to the business software may become preferable. It must keep the source, flag doubtful fields and avoid double creation. The choice is made on the total time to the accepted result, not on writing speed alone.
